From 2026 onwards, more than 110 Dutch government organisations will use a digital ordering portal for print services. The portal forms part of the nationwide European tender for Graphic Services, awarded to Xerox. In cooperation with Koninklijke Van der Most and OSAGE, Xerox is implementing an integrated approach, in which the digital ordering portal was developed together with Prindustry. Through the portal, government employees can request and order printed materials.

Collaboration through expertise

Successful collaboration starts with empowering one another,” says Ramon van Wingerden, Director of Prindustry. With that, he aptly summarizes the vision of the IT company.

This vision is reflected in the Dutch government’s procurement for graphic services. In this project, Xerox acts as the main contractor, overseeing the services in close cooperation with long-standing partners Koninklijke Van der Most and OSAGE. This partnership results in a streamlined execution, with clearly defined responsibilities for production, DTP and brand identity management.

Digital ordering solutions play an increasingly important role within this framework. For that reason, Xerox selected Prindustry as its dedicated software partner. “Each party contributes from its own area of expertise,” Van Wingerden adds. “With our platform, government employees can request and order print communication in a secure, simple and efficient way.”

One platform for all print orders

Printed and PDF communication within government involves many users and complex workflows. As it’s not a core activity, the required knowledge is often fragmented. This new digital ordering portal forms the foundation of a fresh approach. Through a single digital gateway, users can request and order graphic products — including tailored advice and support. The portal supports the ongoing digitalization of Graphic Services and simplifies and standardizes internal processes.

Designed for ease of use

“Because so many different employees use the portal, the interface must be intuitive and user-friendly. We developed the design together with OSAGE, focusing on both functionality and user experience. With smart search functions, how-to videos, and a chatbot, the platform fully supports users in their daily work.”

Insight into choices and impact

The platform offers more than just convenience — it provides insight. Organizations can manage their print orders based on cost, quality, and sustainability — for example, by consciously selecting materials. The goal of the central government was to simplify and digitalize the entire printing and reprographics process, with high quality and sustainability as guiding principles. The central platform streamlines workflows and provides valuable management information. It offers greater transparency on costs and environmental impact, empowering users to make informed decisions — for instance, on material usage and CO? emissions. This aligns seamlessly with the government’s ambition to simplify service delivery and gain better insight into spending, quality, and environmental footprint.
