Xerox and Prindustry have formed a strategic partnership for projects and public tenders in print management services. Digital ordering solutions are becoming ever more important in this context. Xerox leads the coordination and print production, while Prindustry develops and manages the ordering portal as software partner.

Collaborating on government tenders

A strong example is the EU-wide tender for Graphic Services issued by the Dutch national government in 2026. Xerox was awarded the contract and is executing it in collaboration with Koninklijke Van der Most and OSAGE, using the Prindustry platform as the digital ordering portal. Together, they support more than 110 government organizations in digitizing, improving and making their graphic communication processes more sustainable.

This enables government employees to request and order printed communication securely, easily and efficiently.”

One central platform for print orders

Printed and PDF communication within government organizations involves many different users and workflows. As it’s not a core activity, the necessary knowledge is often scattered across departments. The new central digital ordering portal forms the foundation of a new approach. Through a single digital gateway, users can request and order graphic products — with tailored advice and support when needed. The portal supports the further digitization of graphic services and helps to simplify and standardize processes. At the same time, it offers insights into choices, costs and progress, enabling organizations to make informed decisions on quality, efficiency and sustainability.

Van Wingerden adds: “Because so many different employees will be using the portal, it has to be intuitive and logical. We developed the design together with OSAGE, with attention to both functionality and visual appeal. Smart search features, instructional videos and a chatbot help users get the most out of their workflow.”

A more digital and sustainable ordering process

The ordering portal offers more than just convenience — it also provides valuable insights. Organizations can manage costs, quality and sustainability more effectively, for example by making more conscious choices about materials. The Dutch government’s objective was to fully digitize and simplify the printing and reprographics process, with high quality and sustainability as key principles. The central digital ordering portal streamlines graphic workflows and delivers valuable management data. This creates greater visibility into both costs and environmental impact, enabling informed decisions — such as those involving material use or CO2 emissions. This fits seamlessly with the government’s ambition to simplify public services and gain better insight into costs, quality and carbon footprint.
