A print project is often more than just one product

A print project rarely consists of a single, simple product. A brochure has multiple components, a trade show package combines products from different sources, and a book often involves several suppliers. Every part comes with its own prices, files, and communication.

To keep track of it all, print managers often rely on a spreadsheet, long email threads, or a general project management system. That covers part of the process, but not the complete print project. Products, stock, prices, files, communication, and quotes stay scattered, and part of the work remains manual.

Until now, it hasn’t been possible to automate a complete print project in a single workflow, from first setup through multiple quotes and actions to an order.

One project, all the building blocks

With Projects in the Prindustry Platform, you piece together one complete print project. Add a project manager, reference, budget, and deadline, so it’s immediately clear who’s responsible and what the budget is. A project runs for as short or as long as needed, from a few weeks to several years. Then you add everything that belongs to the job: products, manual tasks, prices, files, communication, quotes, and orders.

This way, you manage the complete print project from one central place, instead of keeping everything scattered across different files and tools.

Combining products and tasks

Within one project, you combine different types of products and activities:

  • products from your assortment;
  • stock products (SKUs);
  • products from the Marketplace;
  • products you build directly within the project;
  • manual tasks and additional services.

This way, you put together a complete print project with products from different sources, without having to calculate each one separately. Send the project through as a quote, and the customer can approve it product by product or all at once for the whole project. Each part then flows through to an order and invoice at its own pace.

EXAMPLE

A trade show promotional package can easily include banners, business cards, flyers, polo shirts, and giveaways, plus advice. In Projects, you organise all of that in one place. From a single project, you get prices from the Marketplace and your own production, request them from manufacturers, and send everything through as one combined quote.

Existing and new products in one quote

A project doesn’t just bring together new products, but also products that are already in stock. Within the same project, you combine stock products with products you still need to calculate or have manufactured. From that one project, you send everything through as a single quote, including any margins you want to adjust.

EXAMPLE

For an event, promotional gifts like power banks or bags are already in stock, recorded as stock products with their own SKU. The same event also needs a printed invitation and programme booklet. Within one project, you combine the stock products with the newly calculated print products, and send it all through as one quote.

Requesting quotes from suppliers

From a project, you request a quote directly from a supplier or manufacturer, for a whole product or a single component. Want to compare multiple prices for the same component? Send several quote requests at once and compare the results side by side within the project.

EXAMPLE

You can split a book into cover, interior, and finishing. For each component, you can work with a different manufacturer and request its price separately, all within the same project. Or you can request multiple quotes for each component.

Handling changes with ease

A print job sometimes changes along the way. In Projects, you make that change and calculate a new price immediately, without rebuilding the job from scratch.

EXAMPLE

A brochure is one component of a larger project, alongside other products and quotes. If the brochure needs a different page count or paper type, you adjust the specifications for that one component, without touching the rest of the project or any other open quotes. You calculate the new price right away and send the updated quote.
